How to switch from Cheqroom to ItemTally

Export your items from Cheqroom as CSV with all fields, upload, and match the name, code and location columns. Then rebuild kits, re-create upcoming reservations and hand out what's currently in custody. History stays in Cheqroom's reports.

What you need

  • A Cheqroom login with permission to export (export can depend on your plan and role)
  • An ItemTally workspace, free for one editor and ten borrowers
  • A spreadsheet app, to add one column and save CSV
  1. Export items from Cheqroom

In Cheqroom, open Items, tick Select All, then Export at the top right. Choose .csv and include all fields. Cheqroom's knowledge base says export may not be enabled on every plan or role; ask your account owner if the button isn't there.

  2. Export what's in custody and your kits

From Reports, export Items in Custody (it needs custody and the Reporting add-on in Cheqroom) so you know who has what on the day you switch. Export Kits as well, to rebuild them.

  3. Add a Type column

Open the items CSV and add a Type column with unique for equipment you lend. Add quantity for anything you count instead, such as batteries or cables.

  4. Upload and match columns

Upload on the Imports screen. Map the item name to Name, the barcode or code column to Barcode or code so your Cheqroom labels keep scanning, and the location to Location. Brand, model and category can be Tags or custom fields. Cheqroom doesn't publish its export's column names, so look at each guess.

  5. Check and import

The Check step lists every item and any row that would be skipped, with the reason. Fix the file and upload again until it's clean.

  6. Rebuild kits and reservations

Create each kit under Kits from your kits export, and print kit labels: scanning one puts the whole kit in the basket. Re-create upcoming reservations under Schedule; conflicts are checked as you add them.

  7. Hand out what's in custody

Using the custody report, scan each item and hand it to its holder with the right due date. Several items for one person go in a basket and are handed over at once, with one receipt.

What to check before you switch

  • Reservations depth. Cheqroom has detailed booking rules and restrictions. ItemTally has holds with conflict checks, booking requests and per-folder approval. Check that covers how you book.
  • Custody on switch day. Pick a quiet day, or a day when most things are back. Fewer items in custody means fewer handovers to re-create.
  • Who borrows. People who only receive handovers don’t need an account, and handovers by editors are free on every plan. People who take things themselves use borrower seats.

Questions people ask

Does Cheqroom's history come across?

No. Cheqroom says it doesn't support exporting item history logs, and ItemTally doesn't import custody. Keep Cheqroom's reports as the record of the past; ItemTally's logbook starts on switch day.

Will my Cheqroom labels still scan?

Yes, if the codes printed on them are in the export and you map that column to Barcode or code. Test one label before relabelling anything.

How does self-service compare?

In ItemTally, borrowers can take and return things themselves, and people without an account return through their My things link. Folders can require approval or a signature.

How does pricing compare?

Cheqroom prices per admin, billed annually. ItemTally is €0, €19 or €49 a month by team size, and items are never metered.
