Know what's on the van before you're on the job.

For electricians, plumbers, joiners and small building firms with a workshop, a few vans and a crew who share the expensive tools. Consumables counted where you work, so the van and the shelf tell the same story.

Sound familiar?

Consumables run dry mid-job and expensive shared tools vanish between one person and the next. The van says one thing, the shelf says another, and nobody's sure which is right until it's a problem.

Stock it, watch it, hand it over.

  1. Stock the van

Load fixings and consumables in the morning and scan what goes on. The count on the shelf drops by exactly what left, so the van and the store finally agree.

  2. A box hits its reorder point

Screws drop below the line you set and the item turns amber. You get one nudge while there's still time to restock the van.

  3. The impact driver moves on

Hand the shared tool to whoever needs it next; they scan and sign. When someone asks where it is, the logbook answers instead of a group chat.

  4. Refill to the load list

Each van has a minimum and a refill level per item. The load list says what to grab from the store to bring the van back up, and one tap records the whole load.

  5. Service and PAT on the tools

Yearly PAT tests on 110 V tools and inspections on ladders and harnesses are scheduled per item, with the certificate on the record.

Monday's van list, before you leave the yard.

Today lists what's under minimum on each van with Load Van 1 next to it, the tool that's overdue back, and the place that's due a count. Each row has the button that deals with it.

How it looks in ItemTally.

Folders are the real places trades and contractors keep things. Every take, return, count and move becomes a dated line with a name on it, and lines are never edited.

The questions this crew asks.

My crew won't install another app.

They don't have to. Scanning works in the phone's browser, and anyone who borrowed a tool can return it from the link in their receipt without an account.

Screws and drills in the same system?

Yes, that's the point. Quantity stock (fasteners, consumables, sheet goods) with minimums and low-stock alerts, and unique tools (the good drill, the laser level) with custody, in one register and one scan.

Each van needs its own stock levels.

Vans are folders flagged as vehicles, each with its own minimums per item. The Monday digest says which van is short before the crew rolls; a two-minute count from the driver's seat keeps it honest.

Who had the nail gun?

The logbook answers by name. Checked out to Jonas on Tuesday, due Friday, signed with a thumb on the phone. One tap on a person shows everything on their name, so the offboarding conversation becomes a checklist.

Can we track PAT tests, warranty and service dates?

Yes. Schedule a recurring check such as a yearly PAT test on any tool, or add a "warranty until" date field. Today raises both before the date passes, alongside low stock and overdue returns.

Does it track where tools are with GPS?

No. A label records who had the tool last and where it was moved to. For live location on high-value plant, you'd add GPS or Bluetooth trackers, which ItemTally doesn't read.

What does it cost for a small firm?

A one-person outfit is free on Shelf. Up to five people editing and fifty taking tools themselves is €19/mo on Stockroom. Items and vans are never counted toward the price.
