The four jobs a crew actually has.
- Load the van
- Name the sets that travel together and print a kit label. One scan puts the kit in the basket, one hand-over sends it out, and every tool keeps its own line.
- Keep each van stocked
- Each van has a minimum and a restock level per item. Low stock shows on Today with Load Van 1, and the load list says what to grab from the store.
- Count the van
- Scan the van’s label and count what’s in it from the driver’s seat. Tools that weren’t scanned show as not seen, so you know before the next job.
- Know who has the impact driver
- Tools go out on a name with a due date. Crew members take and return for themselves, and reminders carry Return and Extend.
Every van is a place with its own stock.
Make a folder a Vehicle and it gets its own minimums. The register shows the same item on every van, so the van and the shelf finally tell the same story.
- Set everywhere copies one van’s levels to the rest.
- Record load posts the whole top-up as transfers in one go.
- A share link gives the driver a read-only load sheet.

How do we track tools across several vans?
Each van is a folder of kind Vehicle with its own stock and a minimum and restock level per item. Stock levels shows every product across every van on one screen, the load list says what each van needs, and recording the load is one step.
What stops tools walking off site?
Expensive tools go out on a name with a due date, and a signature where you switch it on for that folder. Overdue tools turn amber on Today and in Out with a Remind button, and when someone leaves, their page lists everything on their name.
Do we need barcode scanners or special hardware?
No. A phone camera scans QR codes and barcodes in the browser. Print labels on A4 sheets or a Brother roll. A USB scanner gun works too, but it's optional.
Can the crew count a van with no signal?
Not yet. Counting in the browser needs a connection. Offline counting comes with the iPhone and Android apps, which are in testing and not released.
What does it cost for a small crew?
Stockroom is €19 a month for 5 editors and 50 borrowers, with unlimited items and vans. A one-person outfit can stay on Shelf for free (1 editor, 10 borrowers). Items are never metered.
