How to switch from BoxHero to ItemTally

Export your items from BoxHero's Data Center, save as CSV and upload. ItemTally recognises the BoxHero layout and maps name, barcode, cost and attributes. Check that your quantity column is set to Quantity, and split per-location quantities into one import per location.

What you need

  • Access to BoxHero's Data Center
  • An ItemTally workspace, free for one editor and ten borrowers
  • A spreadsheet app, to save the export as CSV
  1. Export items from BoxHero

In BoxHero, open Data Center → Items → Export to Excel and choose all columns. BoxHero's docs say a search in the Data Center first limits the export to matching items, so clear it.

  2. Save it as CSV

Open the Excel file and save it as CSV UTF-8. Keep the column names as they are.

  3. Upload it to ItemTally

Upload on the Imports screen. A file with Item Name and Barcode or SKU columns is recognised as a BoxHero export and mapped for you: Item Name to Name, Barcode to Barcode or code, Cost to Value, Description to Notes, and your attributes to custom fields.

  4. Check the quantity column

If your quantity column is named Quantity or Stock, it's matched. If it's named after a location, such as Qty (Default Location), it arrives as a custom field: set it to Quantity in Match columns.

  5. One import per location

ItemTally keeps one item per place, so stock in three locations is three items, each with its own minimum. If your export has a quantity column per location, import the file once per location: map that location's column to Quantity and add a Location column with the place's name.

  6. Set minimums and print labels

Set Low-stock alert at and Restock to per location on the Stock levels page, or include Min and Max columns in the file. Barcodes from BoxHero are attached, so scanning a box finds its item. Print labels from the import receipt for anything without one.

BoxHero’s export steps were checked on BoxHero’s docs on 16 October 2026. BoxHero doesn’t publish the export’s column names; these come from its import template, which the export follows.

Questions people ask

Do photos come across from BoxHero?

Not through the Excel export. BoxHero offers Download Photos as a separate compressed file; add the photos you need to items afterwards.

What happens to SKU and Price?

They become custom fields. Cost becomes Value, the replacement value per item.

Is transaction history imported?

No. BoxHero exports transactions separately; keep that file as your record. ItemTally's logbook starts from the import.

What does ItemTally add over BoxHero?

Lending: who has what, due dates, signatures, reservations, kits, and returns through a My things link. BoxHero tracks stock in and out but has no custody.
