Labels that still scan next year
Label places first. A label on each shelf, bin and van tells anyone scanning it what should be there, which is what makes counting and putting things away quick. Then label the things that move: tools, cameras, laptops, cases. Boxed stock usually already has a barcode; use that one.
Size for the distance. 25 mm QR codes scan comfortably at arm's length. Go bigger for anything read across a room, in poor light or with gloves on, and always keep the code printed as text under the symbol: when a label is scratched, the text is the fallback.
Match the material to the room. Paper labels are fine on office shelves. Vans, workshops and outdoor kit need polyester or laminated labels. A flat tag zip-tied to a handle outlasts a sticker stretched around a curve. More in the guide to labelling your inventory.
Never reuse a number. When an asset is retired, retire its number with it. Your records stay unambiguous, and an old label found in a drawer can't point at the wrong thing.
Questions people ask
Which label sheets does it print on?
Avery L7160, L7163, L7165 and L7651 on A4, and Avery 5160 and 5163 on US Letter, plus any compatible own-brand sheet with the same layout. The code number is printed on the box.
Why don't my labels line up with the sheet?
Print at 100% (Actual size), not "Fit to page", with margins set to none or default. Print one test page on plain paper and hold it against a label sheet before using the real thing.
What does the QR code contain?
The code under it, such as AT-0001, as plain text, so any scanner or phone reads it. Add a link prefix and the QR holds a web address instead, which a phone camera opens directly.
How small can a QR label be?
About 15 mm square still scans with a modern phone at close range. For labels read at arm's length, in poor light or on a shelf edge, go for 25 mm or bigger.
QR code or barcode?
QR codes scan from any angle and work with a phone camera. Barcodes suit handheld scanner guns and long, thin spaces like shelf edges. Both work in ItemTally, which also reads the barcodes already on boxed stock.
Is anything I type sent to you?
