Issue the kit in September. Get it back in June.
For the PE department, athletics coordinator or club kit manager who issues match kit and warm-ups to players, lends equipment to teams, and has to account for all of it at the end of the season.

Sound familiar?
Match kit goes out in a rush before the first fixture, written on a sheet that gets wet in the kit bag. By June, nobody knows if number 7's shirt is in a locker, at home or with a player who left in February. The ball bag that went to the away game came back with eight of twelve, and the spare small shirts ran out in October.
Issue, play, recover.
-
Issue at the start of the season
Scan the player's numbered home and away shirts and shorts into the basket, pick the player, set the due date to the end of the season. The receipt goes to the player's or parent's email with a My things link.
-
Training and fixtures
The U15 match bag kit (12 balls, a pump, cones, a first-aid kit) goes out to the coach for the away game and comes back with one scan. The return check asks what came back damaged, and a flagged problem stays on Today until someone deals with it.
-
Sizes run out, you know first
Spare shirts by size are counted stock with a minimum. When the small sizes drop below it, the reorder sheet lists exactly which sizes to order.
-
The end of season
The custody-by-person report lists every player still holding kit. A possession check asks each one to confirm what they have, and you chase only the real gaps.
How it looks in ItemTally.
Folders are the real places school athletics, pe departments and sports clubs keep things. Every take, return, count and move becomes a dated line with a name on it, and lines are never edited.

No kit shop, payments or player registration. ItemTally doesn't sell uniforms, collect kit deposits or register players for fixtures. It tracks the kit you own and who has it.
The questions kit managers ask.
Students don't have accounts with you.
They don't need one. You issue the kit, and the receipt and reminders go to whichever email you add for them, a parent's if you prefer. The My things link works without logging in.
Labels in shirts won't survive the wash.
Use a wash-proof fabric label or write the shirt number into the item name and search by it. Many kit rooms label the hanger or bag and match by number.
How do I track sports uniforms issued to students?
Give each numbered shirt its own item, so it can be on a student's name with a due date. Spare unnumbered kit by size is counted stock, given out with the student's name in the logbook.
What's the difference between issuing a shirt and giving out a spare?
A numbered shirt is lent and expected back, so it stays on the student's name until returned. A spare top given out is stock that leaves; the logbook records who got it, but it isn't chased.
How do we get kit back at the end of the season?
Print the custody-by-person report for the teams that finished, and send a possession check. Each student confirms what they hold from their phone, and the report shows who's left.
Can coaches take equipment themselves?
Give coaches self-service and they can scan out the match bag before a fixture. Each self-service coach is a borrower on your plan.
What does it cost?
A PE department where staff do the issuing fits Shelf (free) or Stockroom (€19/mo for five staff). Students who only receive kit never count toward the price.
