The prep room knows what's out, what's low and what's due.

For lab technicians and prep-room managers in schools and universities, and small research groups who share instruments and buy their own consumables.

Sound familiar?

Practical sets go out to classrooms on trolleys and come back short. A research student borrowed the portable spectrometer for fieldwork and nobody wrote down when. Nitrile gloves in medium run out on a Thursday, the pipettes were due calibration last term, and the certificate is in someone's inbox.

Prepare, lend, restock, calibrate.

  1. Prep the practical

Scan the Year 10 microscopy set kit (15 microscopes, slides, lamps) onto the trolley for room S4. It's on the teacher's name until it comes back to the prep room.

  2. Lend the instruments

A PhD student takes the portable spectrometer for two weeks of fieldwork. Scan, pick the student, due date, signature. They get a My things link to extend if fieldwork runs over.

  3. Keep the consumables up

Gloves, tips, wipes and slides each have a minimum. When one drops below, it's on the reorder sheet with how many to buy, ready for whoever raises the purchase in your finance system.

  4. Calibrate on time

Each pipette has a yearly calibration check. Today shows what's due this month, and the certificate is attached to the pipette it proves.

How it looks in ItemTally.

Folders are the real places teaching labs, prep rooms and small research groups keep things. Every take, return, count and move becomes a dated line with a name on it, and lines are never edited.

The questions lab technicians ask.

Our consumables have expiry dates.

You can add an expiry date field to an item and get an alert before it passes. It's one date per item, so it suits a box of slides better than a fridge of reagent lots with different dates.

Research groups and teaching share one prep room.

Give each group its own folder and room key. A group member sees and counts their own instruments and consumables, while the technician sees everything.

Is ItemTally lab inventory management software?

For equipment and general consumables, yes. It doesn't cover chemicals, safety data sheets, reagent lots or samples, which need a dedicated lab system.

Can we track pipette calibration?

Yes. Schedule a yearly calibration check on each pipette, log each calibration with a note and attach the certificate. Today lists what's due.

Can students borrow equipment?

Hand it to any student by name. They need no account; their receipt has a My things link to see and return what they have.

What does it cost for a department?

A technician who does all the lending is free on Shelf. A team of up to five staff is €19/mo on Stockroom. Items are never counted, so a large consumables list costs nothing extra.
